Tasks

  • Receiving and registering the books and transactions received by the college and giving them the official numbers.
  • Organizing and issuing books issued after their duly audited and approved.
  • Distributing official correspondence to the concerned departments and units and following up on their completion.
  • Preserve and archive books and paper and electronic transactions.
  • Prepare internal and external official mail and follow up on its delivery.
  • Maintain the confidentiality of official information and documents.
  • Preparing tables and records for Diwani transactions.
  • Follow up on the implementation of administrative orders and directives issued by the College Presidency.
  • Coordinating with departments and units on administrative transactions.
  • Organize the minutes of meetings and keep them in official records.
  • Implement and update the electronic archiving system continuously.
  • Prepare periodic reports on the progress of the Diwani work.
  • Adherence to quality and administrative governance instructions.
  • Organizing the preservation of official seals and following up on their use in accordance with the controls.
  • Perform any other tasks assigned to the Division within its competence.
